Management.

A new tab page called Text has been added. This allows you to set up default text for inclusion on each document type. This text is included within the footer text on each document.

Sales and profitability by manufacturer may now be measured at the accounts level. During invoicing and raising credit notes, the Sales and Cost of Sales postings may be split by Manufacturer code. This requires you to set up a new table accessed from the Options drop down list in the Management menu. The option is Sales GL postings by Manufacturer.

Sales Order Entry.

The preferences tab page now allows two default delivery addresses. When setting up new sales order the first delivery address is selected by default and a message is put on the screen to indicate a second default address exists. When changing the delivery address, the second default address is always offered as an option no matter what you use as the name to search for.

When creating a pro-forma invoice you can now add additional charges to the document. There is a new option on the Pro-forma despatch screen which allows you to enter descriptions and additional costs prior to creating the document.

If the Purchase Order Management (POM) module is installed then sales staff can raise a requisition for product to be ordered. Then it is up to staff with access to POM to raise the purchase order. This new facility is accessed from the Options menu in SOE.

A new option has been added to management so that request dates may printed on acknowledgements. This works by automatically checking the box for printing.

Where a sales order line has been despatched and subsequently credited, details of the credit note may be viewed in the order book screen.

A new company type has been added to KBS. Type D is a delivery address. New delivery addresses will be given this type automatically, existing addresses may be updated in the maintenance tab page. This helps to distinguish the contact address where a company has several delivery addresses.

Fast quote facility, to show stock and prices for a given part without having to raise a formal quote. Availability of this facility is controlled by an option in management.

A preferences option for the shopping list has been added. This is unique to each employee and allows columns to be dropped from the shopping list screen.

Purchase Order Entry.

When displaying unconfirmed orders in the Purchase and Late Purchase Order reports, a chaser document may be generated and printed or despatched by email/fax. An additional column is displayed on the report allowing individual PO items to be included or excluded from the document. A new button labeled Chase will generate and despatch the document.

Sales staff can now generate a Request for Quotation (RFQ) document for suppliers. When the response is received the RFQ may be updated. When setting up a new Sales or Purchase Order, details of previous RFQs may be viewed by pressing a button on screen.

A new option has been added to management so that the suppliers FAX number is included in the header of PO documents.

When setting up a new PO, if there is no price agreement then the price will default to the last price for this part from this supplier. A message is put on screen to indicate this.

The title of the PO document is Purchase Amendment if the revision number is greater than zero.

A new option has been added to management so that the stock base price is updated from the landed cost when raising a new Purchase Order. In management, from the options menu, select Base price Updates.

Reports.

A Pro-forma invoice report has been added, to detail Pro-forma’s raised within a specified date range.

A Customer performance report has been added. This summarises your performance in keeping to delivery dates for each of your customers.

A Supplier performance report has been added. This summarises each suppliers performance in keeping to delivery dates. Returns from customers are also analysed on the report by the supplier of the goods.

Many reports which used to be in the ST module have been moved to RP. These include Stock Valuation, Adjustment History, Intrastat, Billings and Sales Delivery Forecast.

Where the information produced by a report is suitable for presentation in graphical format, a button has been added to convert the data displayed into a graph. You may select the style of the graph e.g. Pie chart or Bar chart. The reports where this facility is available are Top 100, Quotes, Stock turnover, Stock valuation, Sales forecast, Customer and Supplier performance.

A Stock Aged report has been added. This allows you to list stock received prior to a given date.

An Enquiry report has been added for those users with the Enquiry module .

A Request for Quotation report has been added for those users with the Enquiry module.

A new report has been added to allow you to analyse turnover, profitability and stock value by Stock type, Manufacturer, Rep and Area codes, on a single screen display. The information is displayed using twelve graphs with a drilldown facility on each one.

Production Control.

When a Kit order is despatched the despatch note will include details of any shortages.

A new status of Inspection may be assigned to each production order. This is usually after picking and WIP.

A Shortage report has been added. This is a new parameter on the WIP report so that only production orders with allocation shortages are reported.

A priority may now be assigned to each production order. The Work in Progress (WIP) screen can also be ordered by priority. This is to show stores staff the orders they should concentrate in picking or completing.

When a production order is linked to a sales order, the ISO number is now shown on batch trace records.

A profile may be calculated from the components and the base price updated.

Production Control is used in both Manufacturing and Kitting. In order to distinguish between the two, an indicator is set on stock types for the Kit part numbers. This is done through codes maintenance. Only kits may be completed with shortages. Manufacturing does not allow part assembled items.

Stock Maintenance.

Can now record Free format text against each part. There is a Notes button in the Maintenance tab page. The text is accessible in Sales and Purchasing when setting up new orders.

Option to have Consignment stock warehouses. A warehouse may be associated with each customer in the SOE maintenance tab page. Stock allocations reserves stock in this warehouse to that customers orders only. Note additional warehouses are an additional charge and do not come as standard in KBS.

A new option (set in Management - General tab page) for stock type, manufacturer and group to be mandatory when adding new stock items in the maintenance tab page.

Option to make parts with the preferred supplier for POM module.

Clone option in maintenance to create parts with the same characteristics easily.

Goods In.

Spreading of freight and duty by consignment. You mark items to be added to the consignment from the main display. A new screen accessed from Options allows you to display these items, confirm the quantities, update the duty % and spread a total freight cost across all items by value. You then Post to update the PO detail records. Then book in the goods as normal.

KBS now allows parts to be booked into a location which is already in use, but only if it is the same part, and has the same batch number, advice note, C of C and date code as the product already in the location.

A new screen which allows you to receive all items on a purchase order easily. From main display, a new option when right click. A new screen is displayed with all items on that PO. Can update quantities and locations, then Post to book in all lines.

When booking in you can now alter the commodity code for the part number.

The purchase price is displayed on both the main display and when booking an item in.

Part description and suppliers part number are now included on the main display.

The GRN is now used as reference on stock nominal postings.

Goods out.

Profit check before invoicing. If the profit to be made is less than the company minimum margin a supervisors password will be required if the employee despatching is not a supervisor.

Option to print pick lists for all orders displayed on main screen. The orders will also be frozen.

The batch number and part description are now printed on the picking list.

The picking list now includes **CREDIT HOLD or **OVER CREDIT LIMIT** in header box where appropriate.

The picking list now includes the name of employee who froze order Columns for number of items and number of items completely allocated, have been added to the main display.

Option to find and display by ISO number.

You can now reprint a range of document numbers (this applies to all reprints).

An Item quantity has been added to despatch notes. This clearly shows a total where an item has been picked from multiple locations.

Returns.

A new option has been added (set in management - general tab page) so that debit notes are not posted to the supplier account.

The returns report now include the initials of the picker of the original invoice.

The BSI indicator on included on reports.

Nominal Ledger.

Can now save and update Journals before posting.

Can now save and update bank payments before posting.

A running balance in GBP has been added to the Detailed Trial Balance report.

The transaction list tab page now has a running balance in the Reconciliation currency if it is not GBP.

A new Budget report has been added, also a Budget tab page to enter budget figures. The budget report is based on the P&L report, but includes comparisons to the budgets entered for the period and year to date.

Text may now be added to batch statements.

The Aged report may be run by month and due date.

The maintenance screen now includes accounts contact details used creating statements.

Running totals have been added for nominal amounts when posting a transaction.

Purchase Ledger.

From allocations you can now force invoices on to the payment run. Right click on the transaction for this option.

Can have a single reference in payment run e.g. BACS reference.

The Aged report may be run by month and due date.

From the allocations screen, you may now drill down and see the nominal postings for every transaction. Right click on the transaction to get a drop down menu.

You may now post invoices which have more than one VAT rate. The VAT amounts are now split with the nominal postings.

Can now put invoices on hold, from Allocations tab page.

You may now set a default bank account for each currency. Set in management, currencies tab page.

A new field has been added to the transaction tab page to allow an internal reference field to be recorded when posting invoices.

The maintenance screen now includes accounts contact details used when creating statements.
